Share and Review a Spreadsheet Notes

In this chapter, we will learn how to share spreadsheets with others, review the changes they make, and collaborate more effectively. These tools are useful when multiple people are working on the same spreadsheet.

  1. Sharing Spreadsheet

Sharing a Spreadsheet allows multiple people to work on the same document at the same time. It makes teamwork easier because everyone can make edits and see the changes in real time.

How to Share a Spreadsheet:

  1. Open the spreadsheet you want to share.
  2. Go to Tools > Share Document.
  3. A dialog box will appear. Check the box that says Share this Spreadsheet with Other Users.
  4. Click OK. Now, the spreadsheet is shared, and multiple users can edit it simultaneously.
  1. Opening and Saving a Shared Spreadsheet

When you receive a shared spreadsheet, you can open it and make changes like any other document. However, there are a few things to note when working with shared documents.

Opening a Shared Spreadsheet:

  • Open the file as usual by going to File > Open.
  • If the document is shared, LibreOffice will let you know that other users can edit it too.

Saving a Shared Spreadsheet:

  • After making changes, save the document by going to File > Save.
  • LibreOffice will manage the changes from different users and merge them into one document.
  1. Recording Changes

When multiple people work on the same spreadsheet, it’s important to keep track of the changes. LibreOffice lets you record all changes, so you can see who made what edits.

How to Record Changes:

  1. Go to Edit > Track Changes > Record.
  2. Now, all changes made in the spreadsheet will be tracked and recorded.
  3. You can see what changes were made, by whom, and when they were made.
  1. Add, Edit, and Format Comments

Comments allow users to leave notes or suggestions without changing the actual data. This is helpful for collaboration and feedback.

How to Add a Comment:

  1. Select the cell where you want to add a comment.
  2. Right-click and choose Insert Comment.
  3. Type your comment in the box that appears.

How to Edit a Comment:

  • Right-click the cell with the comment and select Edit Comment. You can now modify the text.

How to Format a Comment:

  • You can change the appearance of a comment (font, color, etc.) by right-clicking the comment and choosing Format Comment.
  1. Reviewing Changes – View, Accept, or Reject Changes

After changes have been recorded, you can review them to decide if you want to accept or reject the edits.

How to Review Changes:

  1. Go to Edit > Track Changes > Manage.
  2. A list of changes will appear, showing what changes were made and by whom.
  3. Select a change and click Accept to approve it or Reject to discard it.
  1. Merging and Comparing

Sometimes, you might have different versions of the same spreadsheet, and you need to combine them into one. Merging allows you to combine data from different documents, while Comparing lets you see the differences between two spreadsheets.

How to Merge Spreadsheets:

  1. Open one of the spreadsheets.
  2. Go to Edit > Compare Document.
  3. Select the other spreadsheet to compare with.
  4. LibreOffice will show the differences, and you can choose to Merge them into one document.

By using these features, you can collaborate with others on spreadsheets, track changes, and review edits easily. It makes teamwork more efficient and organized.
